Privacy policy

This policy explains how Coworking Riga processes your personal data when you visit coworkingriga.com, fill in the contact form or contact us in any other way. We process data in accordance with the General Data Protection Regulation (GDPR) and the laws of Latvia.
1. Data controller
The controller of your personal data is SIA “SECRET GARDEN STUDIO” (brand name Coworking Riga), registration No. 40002061851, legal address: Artilērijas iela 3-20A, Riga, LV-1001.

2. What data we process
- Contact form: name, phone number or email, selected topic, message content and time of submission.
- Communication by email, phone or WhatsApp: the contact details you provide and the content of the communication.
- Client data: if you become our client, the data needed to conclude and perform the contract, such as your first and last name, company details, contact details and billing information.
- Technical data: the website's server logs may briefly record your IP address, browser type and time of visit. This is needed for the website's security and operation.
3. Why we process data and on what legal basis
- To answer your question and arrange a visit: steps taken at your request before entering into a contract, and our legitimate interest in responding to enquiries (GDPR Article 6(1)(b) and (f)).
- To conclude and perform a contract (GDPR Article 6(1)(b)).
- To meet accounting and tax requirements (GDPR Article 6(1)(c)).
- To keep the website secure and running: our legitimate interests (GDPR Article 6(1)(f)).
4. How long we keep data
- Contact form messages and correspondence where no contract is concluded: up to 12 months after the last contact.
- Contract and accounting documents: as long as required by law, for example the Accounting Law.
- Server logs: briefly, in line with the hosting provider's settings.
When the retention period ends, we delete or anonymise the data.
5. Who we share data with
We do not sell your data or use it for advertising. Data may only be received by:
- website hosting and email service providers that process it on our behalf;
- our accounting service provider, if you become our client;
- public authorities, where required by law.
If you choose to contact us via WhatsApp, the communication is also processed by WhatsApp (Meta) under its own terms. If a service provider processes data outside the European Union and the European Economic Area, this is done with the safeguards provided for in the GDPR, such as the European Commission's standard contractual clauses.
6. Map and external links
An embedded Google Maps map shows our location on the website. When the map loads, Google receives your IP address and may use cookies under its own terms (Google Privacy Policy). The “Get directions” link opens Google Maps in a new window.
7. Cookies
With your consent, we use Google Analytics (Google Ireland Limited) cookies to understand how visitors use the website, for example which pages are visited and where visitors come from. These cookies are stored only if you choose “Accept” in the notice. You can change your choice at any time by clicking “Cookie settings” at the bottom of the page.
We do not use advertising cookies. Strictly necessary cookies needed for the website to work may be used, as well as Google cookies used by the embedded Google Maps map (see section 6).
8. Your rights
You have the right to:
- access your data and receive a copy of it;
- have inaccurate data corrected;
- request erasure of your data if it is no longer needed or there is no legal basis for processing it;
- restrict processing or object to it where processing is based on legitimate interests;
- receive your data in a portable format.
To exercise these rights, email hello@coworkingriga.com. We will reply within one month. If you believe we are processing your data incorrectly, you can lodge a complaint with the Data State Inspectorate (www.dvi.gov.lv).
9. Automated decision-making
We do not make decisions based solely on automated processing and do not carry out profiling.
10. Changes to this policy
We may update this policy, for example when our services or the law change. The current version is always available on this page, and the date of the last update is shown at the top.
This English version is provided for convenience. If there is any difference between the versions, the Latvian version prevails.
